Attendance tracking for your BJJ academy, without paper
Taking attendance feels like admin, but it's the most useful data a jiu jitsu academy has. It tells you who's ready to be promoted, who's about to quit and which classes fill up. Here's how to track it without paper and what to do with it.
Why a paper sign-in sheet falls short
- It gets lost, gets wet or stays in a drawer, and nobody adds up each student's classes.
- When promotion day comes, you're relying on memory.
- It doesn't warn you when someone stops coming: you find out once they've already cancelled.
Three ways to record attendance
1. The coach takes attendance on their phone
At the start of class, the coach marks who's there. It's quick if the list already shows the students who booked that class.
2. A tablet at the entrance
Each student taps their photo when they arrive. The coach doesn't have to do anything and there are no queues.
3. Booking classes in advance
Students book from their phone. That way you know how many are coming, you manage spots and the waiting list, and all that's left is confirming who showed up.
What to do with attendance data
Promote with clear criteria
If your academy requires a number of classes for each stripe or belt, attendance tracking counts them for you. On promotion day you already know who qualifies. Here's the order and minimum times for BJJ belts.
Spot cancellations before they happen
Almost every student who leaves starts by coming less. If someone who came three times a week hasn't shown up for two weeks, that's the time to message them, not once they've already asked to cancel.
Plan your schedule
With a few months of attendance data you can see which classes fill up and which don't: whether it's worth adding another No-Gi class or moving the kids class.
What to look for in an attendance app
- The coach can take attendance in seconds from their phone.
- It offers a tablet option at the entrance.
- Every class counts towards the next stripe or belt.
- You can see who hasn't been in for a while.
- It's free for your students.
